Timesheet template

Pick weekly, every two weeks or monthly, add the employee, employer and hourly rate, and download the timesheet. The Excel file has formulas that add up each day, overtime past 40 hours a week and gross pay as you fill it in. There's a CSV for Google Sheets and Numbers, and a version to print or save as PDF.

How to fill in a timesheet

  1. Write the time you started and stopped each day, in 24-hour time or with AM and PM.
  2. Put unpaid breaks in minutes. Paid breaks stay in the day.
  3. Leave days off blank. The day counts as zero.
  4. Check the weekly total, sign it, and send it to whoever runs payroll.

How the formulas work

Daily hours are clock out minus clock in, times 24, minus the break in hours, so 9:00 to 17:30 with 30 minutes off is 8.00. In the Excel file, a shift that ends after midnight wraps around. Each 7-day block adds up, hours past 40 are overtime at 1.5×, and gross pay is regular hours × rate plus overtime hours × rate × 1.5.

Prefer not to fill in anything? The time card calculator does the maths on the page, and Timecard records your hours on a Mac by itself.

questions

Is this timesheet template free?

Yes. Download it as many times as you like, for Excel, Google Sheets, Numbers or print. There's no sign-up and nothing you type is sent anywhere.

Does the Excel timesheet calculate hours automatically?

Yes. Each day's hours are clock out minus clock in, minus the break, and shifts past midnight work too. Each week adds up, anything over 40 hours counts as overtime at time and a half, and gross pay uses your hourly rate.

How do I use it in Google Sheets?

Download the CSV, then in Google Sheets choose File › Import › Upload and pick the file. The daily hours, weekly totals and pay are formulas, so they update as you type times like 9:00 and 17:30. Or upload the Excel file to Google Drive and open it with Sheets.

Which pay period should I pick?

Match your payroll. Weekly suits hourly jobs paid every week, every two weeks is the most common US pay schedule, and monthly suits freelancers who invoice once a month. Overtime is counted per 7-day week in every version.

Can I track hours without filling in a timesheet?

On a Mac, Timecard records when you start and stop using your computer and prints each day as a timecard, so the hours are there when you need them.
